Company portal: what it is and which modules you need

A messenger for chats, spreadsheets for tasks, a drive for documents, a separate service for training — and no complete picture. A company portal brings all of this into a single workspace.

What a company portal is

A company portal (intranet) is an internal platform where employees get news, find documents, do tasks, go through processes and learn. The key idea is one login for the whole team and shared data: the org structure, roles and permissions are the same for every module.

What problems it solves

  • Information gets lost in chats — nobody sees important announcements.
  • New employees don’t know where to find regulations and colleagues’ contacts.
  • Tasks and approvals are scattered across services — the manager doesn’t see the picture.
  • The company pays for 5–10 separate subscriptions that aren’t connected.

Modules of a modern portal

ModulePurpose
News feed and announcementsInternal communications, polls, greetings
Org structure and profilesWho is responsible for what, contacts, stand-ins
Knowledge baseRegulations, instructions, full-text search
Tasks and projectsKanban, Gantt, deadlines, reporting
Business processes and approvalsRequests, invoices, contracts along a route
CRMLeads, deals, customers
Learning (LMS)Courses, tests, onboarding paths
MotivationPoints, leaderboards, merch shop, eNPS

You don’t have to launch everything at once. Usually companies start with the feed, org structure and knowledge base, then add processes and learning.

How to choose a portal: 6 questions

  1. Is there a process designer that needs no programmer?
  2. Are the org structure and permissions shared across all modules?
  3. Is it convenient on a phone — for people who don’t sit at a computer?
  4. Can it be deployed on your own server if security matters?
  5. Is the interface available in your language, with local support?
  6. Who will help with implementation — just the vendor or process consultants?

How to roll it out so the portal “comes alive”

  • Appoint a portal owner and an internal communications editor.
  • Move something into the portal that people can’t work without: requests, schedules, regulations.
  • Launch gamification: points for activity, courses and taking part in surveys.
  • Managers must use the portal themselves — otherwise the team won’t believe in it.

How is a company portal different from a messenger?

A messenger is only communication. A portal combines communication with documents, tasks, processes and learning, all tied to the org structure.

How long does it take to launch a portal?

A basic launch (feed, org chart, knowledge base) takes 2–4 weeks. Processes, CRM and learning are added in stages.
